Understanding roles & access levels
Every account has a role. The role decides which tools appear and which actions are allowed.
FAST controls access with a single role on each user account. A lower number means more access. When you create a login (Company Setup → User Access), you pick one of these roles.
The roles
| Role | Access code | Typically can… |
|---|---|---|
| Authorized Officer | 1 | Everything: company setup, users, payroll, and all reports (the owner/admin login). |
| Payroll Specialist | 2 | Run payroll, settlements, and pay configuration; most operational tools. |
| Business Contact | 3 | Day-to-day operations and reporting; limited configuration. |
| Maintenance Specialist | 4 | Fleet, maintenance, work orders, and service reminders. |
| Driver Manager | 8 | Manage drivers and terminal-level scheduling and inspections. |
| Driver | 9 | The driver app: pay, schedule, forms, documents, and time clock. |
Rule of thumb: features that change money or company-wide settings require an Authorized Officer (1) or Payroll Specialist (2). Drivers only ever see the driver app.
Give the fewest permissions each person needs. You can always raise a role later — but a Payroll Specialist can see sensitive pay data, so assign role 2 deliberately.
They need two separate logins, because the office dashboard and the driver app are different experiences:
- An admin account (role 1–8) with their email and password for the office tools.
- A separate driver portal login for the driver app. The driver login is their driver ID at your company (for example 704576@YourCompany) and only shows the driver app — pay, schedule, forms, documents, and time clock.
Keeping them separate keeps each person's pay and driver data cleanly scoped, and lets them move between the office and driver experiences without one login trying to be both.
For office staff, go to Company Setup → User Access, add their name and email, and choose a role; they receive sign-in instructions by email. For a driver, add them in Manage Drivers and turn on Portal Access — that creates their driver login.
Open the driver in Manage Drivers and reset their portal password there; it takes effect immediately. Drivers can also reset it themselves from the login screen with Forgot password? — they enter their username and the email on file, and a new password is emailed to that address.
Yes. In Company Setup → User Access, open the user and pick a new role. Access updates the next time they load the app.
Two reasons: their role may be too restricted for that tool, or the feature isn't enabled for your company (for example Staff Scheduling, Hiring, or VEDR). Raise the role, or enable the feature in Company Setup.
