A booking link is a page you can send to anyone — a referral, a driver who called in, someone you met at a truck stop. They pick a time that works, fill in their details, and it lands on your calendar.

The times offered come from your availability, minus everything already on your hiring calendar, minus everything on the calendars you have connected. You cannot be double-booked through a booking link.

    Open Booking Links

    In Hiring, click Booking Links, then New Booking Page.

    Name it

    Give it a title the other person will see, like Driver Phone Screen. The link name fills in automatically — that is the web address people will use.

    Set the length and type

    Choose how long it runs and whether it is a phone call, a video call or in person. For video and in person, add the meeting link or address — these are only sent in the confirmation email, never shown on the public page.

    Set your limits

    Minimum notice stops last-minute bookings. Bookable up to controls how far ahead people can reach. Twelve hours notice and 30 days ahead suits most recruiters.

    Decide how it looks

    Hosted by is the name shown under the title on the public page — set it to whoever is taking the meeting, or clear it to show nothing at all. Under Appearance, leave Use my careers page branding ticked to match the rest of your public pages, or untick it to give this one link its own colour and header style. The preview shows exactly what the other person will see.

    Save and share

    Save, then use the copy icon to grab the link. Put it in texts, emails, your signature or a job ad.

What the other person sees

Your company branding, the title, how long it takes, and a calendar of open times. They pick a slot, give their name, email and phone, and confirm. They immediately get an email with the details, a calendar invite they can add in one tap, and a link to cancel if plans change.

One address for every appointment type

If you run more than one kind of appointment — a quick intro call, a full phone screen, an orientation — you do not have to decide which link to send. Every company also gets a single Select an Appointment page that lists them all and lets the other person choose.

It is the booking equivalent of your careers page: one address that always shows whatever is currently on offer, so you never have to reissue it. Find it in the card at the top of the Booking Links screen, with buttons to copy the address or preview it.

  • Only pages that are Accepting bookings appear. Pause one and it drops off the list immediately; switch it back on and it returns.
  • Shortest appointments are listed first, so a quick call sits above a long session.
  • It uses your careers page branding, the same as the individual links.
  • Like every booking link, it is hidden from search engines — it is for sharing, not for being found.

Put the Select an Appointment address in the places you cannot easily change later — your email signature, a text template, a printed flyer, a job ad. Add or retire individual appointment types whenever you like and that one address keeps working.

Leave Add each booking to the applicant pipeline ticked and every person who books also lands in your applicant list at the Phone Screen stage — so a booking is never just a calendar entry you forget about.

Booking pages belong to the person who creates them and use that person's hours and calendars. If two recruiters each want their own link, each creates their own.

Should I share one booking link or the Select an Appointment page?

Send an individual link when you already know what the meeting is — a phone screen for a driver who just called, say. Send the Select an Appointment page when you want the other person to choose, or when the address has to go somewhere permanent like a signature or a job ad.

Will people be able to book me back-to-back?

Only if you want them to. The Gap Between setting on your availability applies to booking links too — with the default 15 minutes, nobody can take a time within a quarter of an hour of anything already on your calendar. See Set your interview availability to change it.

What stops someone booking a time I am not free?

The same check that protects candidate interviews. Before a booking is accepted FAST re-checks your hiring calendar and your connected calendars. If the slot went while they were typing, the booking is refused and they are shown the updated times.

How do I stop taking bookings for a while?

Edit the page and untick Accepting bookings. The link then shows "this booking link isn't available" until you switch it back on. Deleting a page stops the link permanently but leaves bookings already made on your calendar.

Can someone cancel?

Yes — every confirmation email has a cancel link. Cancelling clears it off your calendar and frees the time up again.

Will my booking page show up on Google?

No. Booking pages — including the Select an Appointment page — are deliberately excluded from search engines, so they are only reachable by people you send the link to.

Can someone flood my calendar?

No. One email address can hold three upcoming bookings on a page; after that they have to cancel one before booking again. The form is also protected against automated submissions.
